i4 Services Limited is committed to protecting the privacy interests of its customers and website users. This privacy notice informs you about the privacy practices followed by the i4 group of companies in connection with its services and website. This privacy notice does not apply to third-party services or products offered by recruitment agencies or any other organisations, and we encourage you to read the privacy policies of those parties.

This privacy policy will inform you about what personal data we collect, how we use such data, where such data is processed, how you may opt out of your data being used, the security provisions around storing your data and how to correct or update your data.

 

1. Collection of Personal Information

In order for us to be able to provide employment and other services to you, we collect some personal data from you when you apply to enroll with i4, or when you subsequently submit such information to us. The data collected may include:

Title, Name, Maiden Name (if such name is changed during the lifetime of your i4 service), date of birth, postal address, email address, telephone number(s), gender, confirmation of identity, evidence of your right to work in the UK, National Insurance number, tax reference number, bank account name, bank account number, and when using the i4 website, your network address (see section 3 below).

i4 treats all such personal information as confidential.

 

2. Use of Personal Information

The legal bases for our processing of your personal data are (a) “Contract”, and (b) “Legal Requirement”.

Your information, whether public or private, will not be sold, exchanged, transferred outside of our group company, or given to any other organisation or persons for any reason without your consent, other than for the purposes specified below:

We will process your data for the purpose of performance of our contracts with you or the legitimate interest of our business, or to comply with legal requirements and statutory regulations. In other cases, we will request your consent for the processing of the personal data you have provided to us.

Your personal information is used to help us to more effectively respond to your requests, and to assist you in using our services.

Addresses and telephone numbers provided to us may be used to send you login instructions for the i4 website, notify you that your wages have been paid, general communication to you, and to advise you of updates to our services.

Your personal information may be shared with your recruitment agency to enable us to carry out our service to you or to comply with legal requirements.

Your personal data may be shared with official UK national authorities where we are obliged to do so due to legal requirements.

 

3. Use of the i4 Website

The i4 website at i4services.uk uses short-term cookies to enable personalisation of your use of the website (your personal i4 “portal”). Cookies may be used when you log into the website. Such cookies expire immediately when you log-out from the website, or otherwise after a short time. These cookies are not recorded.

In addition, some website activities are logged, together with the network address, to assist us in maintaining the availability/performance of the website, or for diagnosis of any faults. Such logged data will not be used for any other purpose, and will not be shared with any outside organisation or any third party, except as required by court order or other legal requirements.

 

4. Sharing of Information and Transfers of Data

We do not sell or trade your personal data to parties outside the i4 group of companies.

We may transfer your personal data to trusted third parties, either in order to serve purposes that are specified in section 2 above, or to comply with legal requirements.

The personal information we collect is retained for no longer than necessary to fulfil the stated purposes in section 2 above or for a period specifically required by law or regulation that i4 is obligated to follow.

Even if you request deletion or erasure of your data, we may retain your personal data to the extent necessary and for so long as necessary for our legitimate business interests or performance of contractual, legal or regulatory obligations.

After the retention period is over, i4 securely disposes of or anonymizes your personal information in order to prevent loss, theft, misuse, or unauthorised access.

You may withdraw your consent for i4 to process your personal data at any time by contacting us at one of the addresses shown in section 12 below.

 

7. Access to your personal data

You are responsible for providing i4 with true, accurate, current and complete personal information. You are also responsible for notifying i4 of any updates and changes to the particular personal information provided by you.

You can request to access or modify your personal information by contacting us in writing. We require you to provide identification in order to verify your authenticity as the data subject. We will make reasonable effort to respond to and process your request in a timely manner.

If you provide any information that is untrue, inaccurate, not current or incomplete, or if we have reasonable grounds to suspect that such information is untrue, inaccurate, not current or incomplete, we have the right to suspend or terminate provision of our services to you.

We implement a variety of security measures to maintain the safety of your personal information when you place an order or enter, submit, or access your personal information.

Information transferred between i4 and you via the i4 website, is done so using a secure encrypted method.

i4 commits itself to protect the personal information submitted by applicants for its’ services. i4 declares to fully respect all rights established and laid out in UK/EU laws.

In compliance with the European Union rules on privacy, you have the following rights established by law:

  • You can review your personal data that i4 holds and check it for accuracy.
  • You can correct data in the case that errors may be found in our records.
  • You have the right to request that any of your personal data be erased. i.e. right to be forgotten.
  • You may obtain and reuse use your personal data for your own purposes.
  • You have the right to request that i4 restrict the processing of your personal data under certain circumstances.
  • You have the right to object to our processing of your personal data.

 

11. Changes to our Privacy Policy

If we make material changes to our privacy policy, we will inform customers by emailing a notice of the availability of a new version with a link to the new version.
